Senior Administrative Operations Analyst

SPECIFIC JOB DESCRIPTION:

ANSER is seeking a Senior Administrative Operations Analyst to support the Industrial Base Analysis and Sustainment (IBAS) program within the Office of the Assistant Secretary of Defense for Industrial Base Policy (IBP). The IBAS program is dedicated to ensuring that the Department of Defense is positioned to effectively address industrial base issues and support the National Security Innovation Base. The analyst will provide support which will involve a wide range of activities to include, but not limited to:

  • Oversee leadership Outlook calendars and manage a complex schedule to ensure meeting coverage and maximize efficiency to include: scheduling internal and external meetings, appointments, and special events
  • Independently resolve scheduling conflicts, track, prioritize, and understand key topics and events, and confirm all meeting details for leadership
  • Coordinate administrative needs for basic operational services such as reserving/coordinating conference rooms and building visit requests
  • Collection of meeting read ahead material for Director’s meetings
  • Oversee the onboarding process for new personnel to include requesting and managing all government furnished equipment
  • Oversee administrative systems, file systems, and records management
  • Coordinate travel arrangements and handle all travel related requirements for the Director, to include completion of all Defense Travel System (DTS) related tasks
  • Maintain administrative Standard Operating Procedures (SOPs), recall roster, SharePoint lists, libraries, and website
  • Assist the Chief of Staff to manage meetings and track, monitor, and respond to taskings
  • Develop written communications products such as SOPs, meeting minutes, and briefings
  • Other responsibilities and duties as assigned

This position is to work onsite at the Mark Center in Alexandria, VA and/or remotely in the National Capital Region.

REQUIRED QUALIFICATIONS:

The following skills and experience are required for this position:

  • Must have minimum of a SECRET clearance
  • 6-10+ years of demonstrated experience in providing Office Administration support
  • Strong command of the English language with exceptional review abilities (grammar, punctuation, formatting, etc.)
  • Superior organizational skills and a demonstrated ability to autonomously manage and prioritize multiple tasks simultaneously while also maintaining a high level of attention to detail
  • Initiative in resolving problems with enthusiasm and an energetic approach
  • Proficient in DTS and Microsoft Office Suite (Word, Excel, PowerPoint, and Teams)
  • Ability to effectively communicate, written or verbally with Senior Executive leadership in government and industry

DESIRED QUALIFICATIONS

  • Demonstrated experience supporting in an Office of the Secretary of Defense (OSD)/Joint Staff/Interagency Environment or corporate executive level
  • Demonstrated experience in operating and reviewing correspondence documents for response through the Correspondence and Task Management System (CATMS)
  • Knowledge of the structure and missions of the OSD

EDUCATION & YEARS OF EXPERIENCE

Bachelor’s degree in a related discipline and 6-10+ years of relevant experience
